On the front of each ID card is the cardholder’s name, faculty or department, photograph, UCL person identifier code, and card expiry date. The cards are color-coded by group, with staff featuring an orange banner, visitors have a black banner, and students having other colors. The reverse of the UCL ID card carries the card holder’s library barcode, barcode number, and card issue number.
Obtaining a UCL Virtual Identity Card
When you join UCL as a student or staff member, you will be issued with a UCL ID card at the beginning of your course or contract. You will need to keep this card safe and carry it with you at all times while on UCL premises.
If you need to obtain a UCL virtual identity card for the first time, you can visit the Andrew Huxley Building from Monday to Friday: 09:00-16:45. You will need to show proof of identity, such as a Passport, Driver’s license, BRP, or EU ID card. Please note that photocopies or digital copies will not be accepted. Your photograph for the UCL ID card will be taken at the desk, and you will receive your card on the same day.
If you are a new student, please ensure that you have received an email confirming your enrollment before booking an appointment. From Tuesday 20th September to Tuesday 4th October (inclusive), all new students will need to book an ID card issue slot following the link on your confirmation of enrollment email. The booking system will confirm the location of your appointment.
For returning students who require a replacement ID card due to loss, faulty or outdated data, you can use the above link to book an ID card slot for the Andrew Huxley Building. No new students should use the link below to book their ID card appointment slot.
In central London, ID cards are issued from the Andrew Huxley building (close to Gordon Street entrance) from Monday to Friday 09:00 – 16:45. No appointment is required for staff and contractors working at UCL East. If you are registered disabled or unable to visit, please contact the team to make alternative arrangements.
Costs and Fees
The first ID card you receive is free (check for the ‘Issue 1’ mark on the back of your ID card). If the card is lost or stolen during its period of validity, the next issue is also free. However, a £15 administration fee may be charged for the third and subsequent issues, if lost or stolen, depending on the type of card you hold. Please only make a payment if you have been advised to by the Security Systems team in the Andrew Huxley Building. You can pay for a new card through the web portal of UCL.
Please note that there is no charge in cases where the card has failed or expired, or because the information on the card has changed. If a refund is required, it may take up to 30 working days to be processed.
Returning a UCL Virtual Identity Card
As a UCL virtual identity card is UCL’s property, it must be returned to UCL Security at the end of your course or contract. The card is non-transferable and must be used by the named cardholder only.
